Joint Pastoral/Financial Council Meeting December 6, 2017

Review of current finances:
General Checking: $18,229.79
Extraordinary Loan Payment $7,200.00
Anticipated amount: $11,029.79*
*Amount does not reflect the required diocesan taxes and payroll to be paid.
Total Savings: $55,693.39
General Savings: $51,391.30 (1.50% interest)
Maintenance Savings: $4,302.09 (1.50% interest)
Advancement Foundation: $6,781.00
Parish Hall’s Loan Information
Outstanding Amount: $118,826.59 as of 12/4/2017
Interest Rate: 4.5%
Loan term: 7 years
Monthly Payment Amount: $1,990.82 (about $450 is interest)
The Diocese will automatically deduct the required monthly payment amount from our Advancement Foundation account. Every quarter, or as needed, we will make an assessment and manually make an extra payment with what is available.
Interest amount for the loan will be taxed, which will run around $700 total.
Anticipated Numbers:
$7,200 from the Fall Festival (We are waiting for the diocesan taxes to be assessed and paid before making a payment)
$5,000 from monthly Capital Campaign and Building Fund Collections
$6,781.00 in the Advancement Foundation account as of 12/4/2017
On-going Maintenance Projects:
Completed Projects:
Fluorescent to LED Conversion for the Church’s Offices and Education Building Classrooms: We have one more outstanding payment of $900 in January to Cheney Electric.
Church and Rectory roofs’ shingles: Project is finished, and will be making a final payment for the $1,500 deductible.
Near-Future Projects:
Replace exterior lights to LED around the church grounds
Beautify the Parish Hall’s front area
Repair and recoat the main parking lot area
Proposed Parking Lot Project:
The scope of work:
Clean, fill-in and repair cracks, and put a seal coat on the asphalt on the main parking lot area
Restripe the parking lots
Bids:
B&C Asphalt from Iowa Park: $2,600
1/3 deposit for materials, and remainder paid upon completion
B&B Asphalt from Bowie: $6,516
50% down and remainder due upon completion
Lawrence Cutrone, from the City of Burkburnett, talked about the project and the special needs. It will expand the life expectancy and esthetics. B&C did the Jan Lee Baptist's parking lot. B&B did the High School tennis courts. It will be better to wait until warmer weather. Mike Tugman said they have someone willing to pay for the project.
The council members unanimously voted to do the project and agreed upon B&C Asphalt at $2,600. We will wait for the next warm weather day in the Spring of 2018.
Safety and Security Guidelines:
Guidelines have been drafted with the help of the Safety and Security members: Tom Callahan (Wichita County Ex-Sherriff), Chief Ed Stahr (City of Burkburnett Police Dept.), and Chief Ray Schultz (Chief of Iowa Park CISD Police and Mayor).
Resolutions: 1.) Clear safety guidelines that are applicable to all staff and ministry leaders to follow, and 2.) the necessity for annual drills, especially with our children.
Meeting with all ministry leaders from all three parishes will be on Thursday, January 11, at Christ the King to review guidelines. The Committee members will be present to answer questions and give suggestions.
Some proposed safety suggestions:
Main doors locked during the time of meetings and religious education. There will be an adult walking around the facility.
Mass - the two side doors will be locked but main parking lot door will be unlocked.
Fall Festival:
Pros/Cons:
The kitchen ran very smoothly.
Food ordering from Cisco went well. Sausage and turkeys were ordered from Muenster. We paid a little more for the turkeys but saved $1/lb for sausage. The kitchen ran much better without the drive-thru, and it didn’t appear to affect business.
Silent auction: For the most part it went well. It was recommended we don’t let people take home items until they are paid for. It was also recommended that adults only should write down bids.
Nomination for the next Fall Chair(s): will be done later.
The cash giveaways did not increase ticket sales.
No complaints about portion control.

Mike Tugman - Senior Citizens’ Center is struggling. They still need volunteers to help deliver meals.

Linda Gibson is the liaison for the project
Continue taking and gathering pictures at parish and community-based activities for the directory.
The good time frame will be this spring.
